Stockroom

Sellable stock & reservations

Stock you have. Stock you already promised.

Stockroom tracks on-hand, reserved, available and incoming stock across every location — down to the individual serial number — and releases expired holds by itself.

Stockroom is stock control for goods that go out to customers. Against each product it keeps four numbers at once: physically on hand, reserved for a named person or customer, therefore genuinely available, and incoming with an expected arrival date. Reservations carry a deadline; when it passes without shipping, the units return to availability automatically.

Four numbers, not one

Available is not the same as in the building.

Sixty-five on hand. Eighteen promised to a customer with a deadline. Forty-seven you can actually sell today, and fifty-five more landing on the 26th. Ship part of the reservation and it shrinks; let the date pass and the eighteen return to available by themselves, with the release written in the log.

For serialised goods, the on-hand figure is a count of individual units, each with its own row and history — so the total can never drift from reality.

How it works

Stockroom, end to end.

  1. 01

Create a product — bulk-counted or serialised — and name your locations, units and conditions

  2. 02

Receive stock into a location; for serialised goods, name every unit

  3. 03

Reserve quantity for a person or customer with an expiry date

  4. 04

Ship a reservation in full or in parts, capturing serial numbers and a note

  5. 05

Record goods en route with an ETA and receive them when they land

  6. 06

Transfer between locations, adjust, or write off — every action in a plain-English log

What's inside

Four numbers that spreadsheets collapse into one and get wrong.

The dashboard and the product console

Every product with on-hand, reserved, available, backorder and incoming with the next arrival date, low stock highlighted. The product page is the workhorse: add stock, transfer, adjust, write off, reserve, manage incoming, track serials — with the whole history alongside.

Reservations that enforce themselves

A hold has a date. Reminders go out seven days and one day before to the person holding the stock and to whoever you nominate. If the date passes without shipping, the units return to availability by themselves and the release is logged. A lapsed hold is one click from coming back — after re-checking the stock is still free. Ship four of ten today and six next month; the reservation shrinks each time.

Serial numbers as individuals

Mark a product serialised and every unit has a row: where it is, when and how it arrived, who handled it, where it went. On-hand is the count of those rows, so the total can never drift from reality. Every movement requires naming the exact units.

Alerts, exports and permissions

A per-product or company-wide threshold raises an alert the day a product first drops below it — once, on the crossing. A Monday email carries the whole position. Sixteen kinds of event in the activity log, forty switches deciding who gets which of fifteen emails, three CSV export formats, and four permission levels per copy of the tool.

The difference

Reservations expire.

A commitment held against stock has a date on it, can be extended or reactivated, and can ship partially — which is what keeps "available" true. Spreadsheets have no expiry and no partial ship, and that gap is where oversold orders and unnecessary purchases come from.

Questions

Asked about Stockroom.

What happens if a reservation is never shipped?

On the date it expires, the units are released back into availability automatically and the release is recorded. Reminders go out seven days and one day beforehand, and a released reservation can be reactivated with a new date.

Can it track individual serial numbers?

Yes, per product. Every movement then requires naming the exact units, and each serial’s location, arrival date and full history are visible on the product page and exportable.

Can I reserve more than I have?

Only if you choose to allow it. Out of the box the tool refuses and tells you how many units are genuinely free. Turn on over-reservation and it permits it, showing the shortfall as a backorder figure.

What happens to a product we stop selling?

Set it inactive. It leaves the dashboard, the default list, the weekly summary and the alerts, and keeps every unit, serial, reservation and its history. Permanent deletion exists too, restricted to admins and directors, and it takes the history with it.

Is this the same as Depot?

No. Stockroom is what you sell; Depot is what you own — spare parts and internal equipment. They are separate tools for separate questions.

Shared with every Ovvos tool

One login, one look. The same frame, lists, alerts, light and dark mode and two densities across the whole platform. Learn one tool and you know them all.

One inbox. Anything that needs a person — a new lead, a leave request, a failed check — lands in one platform-wide inbox with a link straight to the record.

Your company only. Every screen, report and export is limited to your own company, enforced on every request — not by hiding buttons.

Your own copy. Most tools are generated per department: name it, choose its icon, grant your people. Two teams can run the same tool and never see each other's data.

Reserve something in the demo, then let it expire.

We set the date to today, and you watch the units come back and the log explain why.
