Depot

Internal assets & spare parts

Know what you own before you reorder it.

Depot tracks the equipment and spare parts your company owns — by part number, by shelf, by country — and records who took what, when, and why.

Depot is a register of the parts and equipment a company owns but does not sell: replacement boards, cables, spare laptops, office kit. Each part is recorded once by manufacturer part number, photographed, and counted per physical shelf in each country. Nothing is added or taken out without a reference and a date. It has no prices, customers or orders — the sellable-stock tool is Stockroom.

How it works

Depot, end to end.

  1. 01

Configure your countries, stored locations, model numbers and item types

  2. 02

Add a part by manufacturer part number with photographs — or add quantity to one that already exists

  3. 03

Assign quantities per shelf per country

  4. 04

Add and reduce stock against a reference — a PO, a delivery note, a job, a person — and a date

  5. 05

Receive a whole delivery with one bulk add against a single purchase order

  6. 06

Open the low-stock report before the job starts; export to CSV or a printable PDF

What's inside

The parts register your spreadsheet was pretending to be.

Stock where it actually is

Every part holds a separate count for each country and named shelf, so "we have twelve" becomes "nine in the UAE warehouse, three in the Oman office". Try to take out more than a shelf holds and Depot stops you and tells you the real number, per shelf, before anything is written.

The part page

Photographs, attributes, the per-location breakdown and the complete movement history: who, when, how many, from which shelf, against which reference, and exactly which details changed on every edit. A live search covers part numbers, model numbers, types, notes, country and shelf names, and every reference ever recorded.

Bulk movements

Bulk add files dozens of parts against one purchase order, shelf and date and still writes an individual history entry for each. Bulk reduce does the same on the way out.

Low stock, exports and settings

A low-stock report lists everything at or below the threshold you set, lowest first, separating running low from already gone. Export the whole register to CSV or to a printable landscape PDF with the photographs embedded. Five lookup lists an administrator controls.

The difference

Nothing moves without a reason.

Adding or taking out stock requires a reference — a PO number, a delivery note, a customer or a job — and a date. That single rule is what keeps the record honest, and it is why "where did the last four go?" has an answer instead of an argument months later.

Questions

Asked about Depot.

Is Depot for the stock we sell?

No. Depot is for the parts and equipment your own company owns and uses — spares, tools, office kit. It has no prices, no customers and no orders. The Ovvos tool for sellable stock is Stockroom.

Can we track the same part in more than one warehouse or country?

Yes — that is the core of the design. A part holds a separate quantity for every country-and-shelf combination you configure, and the tool shows and searches all of them.

Can we run separate Depots for different departments?

Yes. Each copy is fully separate: its own parts, shelves, lists and users. One company runs two today — one for spare parts, one for office equipment.

Will it tell us when something is running low?

It shows you: a low-stock report and an out-of-stock count on the dashboard. Depot does not send emails or alerts.

Who can change what?

Everyone with access can view, search and export. Managers and above can edit and delete parts. Only administrators reach the settings, and only a company administrator can change a part’s manufacturer part number once it exists.

Shared with every Ovvos tool

One login, one look. The same frame, lists, alerts, light and dark mode and two densities across the whole platform. Learn one tool and you know them all.

One inbox. Anything that needs a person — a new lead, a leave request, a failed check — lands in one platform-wide inbox with a link straight to the record.

Your company only. Every screen, report and export is limited to your own company, enforced on every request — not by hiding buttons.

Your own copy. Most tools are generated per department: name it, choose its icon, grant your people. Two teams can run the same tool and never see each other's data.

Photograph one part in the demo.

We add it to two shelves in two countries, take three out against a job, and print the register.
